WhatsApp Business API vs app: basics for Malaysian businesses

By The HeyBirdy teamUpdated 30 Sept 20264 min read

Quick answer

The WhatsApp Business app runs on one phone for one person, while the WhatsApp Business API (Meta calls it the WhatsApp Business Platform) lets software such as HeyBirdy answer for your whole team and your AI assistant. HeyBirdy connects to your number through the API, so you can see your quality rating and messaging limit in Settings, WhatsApp Business.

The shop phone sits by the till. It buzzes during the lunch rush, again while you are packing an order, and again after closing. Three people on your team want to help, but only one of them can hold the phone.

WhatsApp gives businesses two ways in: an app on a phone, and an API that connects your number to software. HeyBirdy uses the API, which is what lets a whole team and an AI assistant share one WhatsApp number.

This page covers:

  • The difference between the WhatsApp Business app and the WhatsApp Business API
  • What a WABA and a Meta business portfolio are
  • How your display name gets approved
  • What quality rating and messaging limits mean, and how to protect them

What is the difference between the WhatsApp Business app and the WhatsApp Business API?

The WhatsApp Business app is built for a small business owner replying from a phone. The WhatsApp Business API, which Meta calls the WhatsApp Business Platform, lets software send and receive messages for your business at scale.

The practical difference for you: on the app, the person holding the phone does the replying. On the API, many agents and an AI assistant can work from the same number, and Meta charges for some messages. See WhatsApp pricing and charges for how that works.

Why does HeyBirdy use the WhatsApp Business API?

Everything HeyBirdy does sits on top of the API:

  • Your AI assistant answers customers from your Instant Answers and Knowledge Hub.
  • Your team shares one inbox, and chats the AI assistant cannot answer are passed to a named agent as chat alerts.
  • You send approved message templates to a whole list as campaigns.

You connect your number in Settings, then WhatsApp Business, with Connect with WhatsApp Business. HeyBirdy guides you through Meta's setup. The steps are in Connect WhatsApp Business.

What is a WABA and a Meta business portfolio?

A WhatsApp Business Account (WABA) holds your business phone numbers and message templates. It sits inside a Meta business portfolio, the container Meta Business Manager uses for all your Meta business assets. Meta explains both in About the WhatsApp Business Platform.

In HeyBirdy, you can see your WhatsApp Business ID at the top of Settings, then WhatsApp Business. The Account Settings tab opens the Meta pages you need most:

  • Manage Phone Numbers to add, remove or configure numbers.
  • Manage Payment Methods to update how Meta bills your WhatsApp Business account.
  • WhatsApp Manager for everything else Meta offers.

How do WhatsApp display names and verification work?

Your display name is the business name customers see on WhatsApp. Meta reviews it against its naming guidelines before it shows in chats. The rules are in Meta's display name documentation.

In HeyBirdy you check and change it under Settings, WhatsApp Business, Business Profile. The steps are in Change your display name.

What are WhatsApp quality rating and messaging limits?

Your quality rating reflects how customers have reacted to your recent messages, for example whether they blocked or reported you. Your messaging limit is how many different customers you can message outside the 24-hour customer service window in a rolling 24 hours, and a good rating helps it grow. Meta explains both in About your quality rating and Messaging limits.

In HeyBirdy both show under Settings, WhatsApp Business, Phone Status. See Check your phone number status.

How do you protect your WhatsApp quality rating?

Most of this comes down to sending messages people are glad to get.

  • Send campaigns only to people who agreed to hear from you. Keep them under a label and pick that label in Filter by Labels when you create the campaign. See WhatsApp rules and compliance.
  • Send a test to yourself first. A wrong name or a broken link is cheaper to catch before 2,000 people see it.
  • Make every campaign worth opening. A new menu or a birthday voucher lands better than a weekly reminder nobody asked for.
  • Answer when customers reply. Your AI assistant covers the quick questions, and chat alerts make sure the rest reach a person.
  • Check your rating after a big send. If it drops to YELLOW, slow down and look at who you sent to.

Keep your rating green, and your number stays free to reach the customers who want to hear from you.
